Setup Guide: Virtual Brands
A virtual brand lets you sell from the same kitchen under a different name, with its own menu, prices and website. It's also how you charge different prices on Uber Eats, Deliveroo and Just Eat: MyFoodFast keeps one price for each item on your POS, kiosk, website and app, and a brand gives the delivery apps their own menu and prices without a second copy of your menu to keep up to date. This guide walks you through creating a brand, choosing which stores it trades from, setting up its menu, and giving it its own ordering website.
For what a brand can and can't do on its own, see Running more than one brand or website from one account.
Before you start
- Make sure your main menu is set up. A virtual brand reuses your existing products, so there is nothing to rebuild.
- Virtual brands belong to your company, so every step below is done at Company level (no store selected in the store switcher).
How virtual brands work
- Your Default brand is your main business. It's what your POS and your main ordering website already use.
- You can add as many extra brands as you like. Each one can show some or all of your products, under its own names and prices.
- Every order is tagged with the brand it came through, so you can report on each brand separately.
Step 1: Create the brand
- Go to Setup > Online Ordering > Website & App > Virtual Brands.
- Click New Virtual Brand.
- Fill in the brand details:
- Name: the name of the brand, for example "Pizza Now".
- POS Store Name: the name printed on receipts for this brand's orders. If you leave it empty, the brand name is used.
- POS Web Address: the web address printed on this brand's receipts.
- Click Create Brand.
Step 2: Choose which stores the brand trades from
- On the Virtual Brands page, click the eye icon next to the brand to open it.
- Under Store Assignments, pick the stores that offer the brand for Collection and for Delivery. A store can offer a brand for collection only, delivery only, or both.
- Click Save Assignments.
A brand's website and menu only list the stores you assign here.
Step 3: Set up the brand's menu
Choose which products are in the brand in Management > Menu > Menu Setup. Once your company has more than one brand, brands show there automatically.
- One product: open the product (pencil icon) and tick or untick brands under Virtual Brands.
- A whole category: open the category (pencil icon) and tick or untick a brand under Virtual Brands. This adds or removes every product in that category. Brands you don't touch are left as they are. A brand shown as (some products) has only part of the category in it.
- Products that aren't in every brand show small badges naming their brands, or No brands. Choose a brand in the All brands picker above the category list to grey out everything not in it.
Set the brand's prices in Management > Menu > Virtual Brands > Brand menus:
- To price the whole brand at once, toppings included, click Set delivery prices and enter one percentage. It also handles a menu imported from a delivery app, by keeping those prices for the apps and lowering your own. See Charge different prices on delivery apps.
- To change prices one at a time:
- Select the brand from the list at the top.
- For each product, turn In brand on to sell it under this brand, or off to hide it. Turn on Own price and enter a Price if the brand should charge a different price from your main menu. If you don't set one, your main menu price is used.
- Click Save Changes.
Turn on Show items not in this brand to see and add back products you've left out.
Note: Change your normal prices, names, sizes and toppings in Menu Setup, not here. Own price only applies to orders placed through this brand.
To control which promos and deals run for a brand, go to Management > Menu > Virtual Brands > Deals.
Step 4: Give the brand its own website (optional)
Each brand can have its own ordering website, with its own name, logo, colours and menu. Customers on that site only see the brand and the stores it trades from.
- Ask us for the address. Email help@myfoodfast.com with the brand name and the address you want. That can be a free myfoodfast.co.uk address, such as
pizzanow.myfoodfast.co.uk, or your own domain, such asorder.pizzanow.co.uk. We set it up and confirm Apple Pay for it. For your own domain, we'll also send you the DNS record to add. See Run your ordering website on your own domain. - Brand the website. Go to Setup > Online Ordering > Website & App > Settings. Choose the brand in the Virtual Brand picker at the top of the page, then set its logo, colours, Restaurant Name, and the Meta Title and Meta Description shown in Google. Click Save Changes.
- Check it. Open the brand's address in your browser. You should see the brand's name and branding, and only the stores you assigned in Step 2.
Tip: The brand's Meta Title is what shows in the browser tab and in Google results. If it is empty, the brand's Restaurant Name is used instead. Make sure each brand has its own title and name here. If you copy settings from your main brand, the brand's site can end up titled with your main business name.
To make customers order ahead, limit how far ahead they can book, or set a minimum order for the brand, fill in Ordering Rules on the same page. See Set up a catering brand. Online orders on a brand website are always paid by card.
On the POS
When an order comes in for a brand that isn't your Default brand, for example a Deliveroo or Uber Eats order for one of your virtual brands, the MyFoodFast POS shows which brand it is for, so your team can pack it in the right packaging:
- Customer receipt: the brand's POS Store Name is printed in large bold text at the top, above your store's name and address, with the brand's product names and prices. If the brand has a POS logo, it is printed instead of your store logo. If it has none, no logo is printed, so the receipt never shows another brand's logo.
- Kitchen ticket: the brand's POS Store Name is printed in bold under the order type and due time. Items show as the product on your main menu, so the kitchen always sees the dish it knows.
- Order hub: the brand's name is shown on the order in the list.
Orders for your Default brand print exactly as before, with no extra brand line.
Note: On the MyFoodFast POS, the web address in the receipt footer is still your store's web address, not the brand's POS Web Address.
Delivery platforms
Each brand goes to the delivery apps as its own menu, with its own prices.
- Go to Setup > Integrations > Delivery Platforms. Under Menu Links (Virtual Brands), link each brand to its delivery platform menu. See Setup integration with Just Eat, Deliveroo and Uber Eats.
- Open the brand from the Virtual Brands page and add the platform's brand under Remote Brands, using the Remote Name and Remote ID the platform gives you. Orders from that platform are then linked to the right brand for reporting.
- Click Send to delivery apps at the top of Brand menus (or Menu Setup). It sends every brand's menu, with its brand prices, to every connected platform. An amber banner reminds you when the delivery apps don't have your latest menu.
Switching an item off in Quick Changes takes it off the delivery apps straight away; you don't need to send for that. See Change your menu and update every channel.
Seeing how each brand is doing
Every order is tagged with its brand. To see one brand's sales, use the Virtual Brand filter on Reports > Sales Reports > Operations. See Reporting on a single virtual brand.
