Finding an existing customer for a phone order

Overview

When a regular customer phones in, you can pull up their saved details instead of typing them again. The Customer screen has a search box in its header. Type the caller's phone number or postcode and a list of matching customers drops down under the box. Tap the right one and their name, phone number and address fill the form.

Nothing is loaded until you tap a match, so the form you are working on is never replaced by mistake.

Search by phone number or postcode

1. On the Create Order screen, tap Add customer (or Phone and then the customer button).
2. In the search box at the top of the Customer screen, type either:
   • the customer's phone number — at least the last six digits, in any format, or
   • their full postcode, for example N9 0HL.
3. Wait a moment. A list of matches opens under the search box, showing each customer's name, phone number and address.
4. Tap the customer you want. The form fills in and the header shows Showing followed by their name.
5. Check the details, then tap Save & use for this order.

Note: The search matches phone numbers and postcodes only. Typing a name will not find anyone. If you only have a name, ask the caller for their phone number or postcode.

What the messages mean

• Keep typing — at least 6 digits of a phone number, or a full postcode. You have typed a short number. Keep going until at least six digits are in the box and the search will run.
• Searching… The till is looking up your matches.
• No matches — try the full phone number or postcode. Nothing on file matches. Check for a mistyped digit, or add the caller as a new customer by filling in the form.
• 3 matches. Three customers match; pick one from the list.
• 50+ matches · keep typing to narrow. More customers match than the list can show. This happens with a busy postcode. Type the caller's phone number instead to narrow it down.

Picking the right person at a shared postcode

A postcode covers a whole street, so several households can share one. Each row in the list shows the phone number and first line of the address, so you can tell customers apart before loading one. If you tap the wrong person, search again and pick another. The form is only replaced when you tap a match.

Closing the list

Tap anywhere outside the list to close it without loading anyone. Clearing the search box with the × also closes it.
