Before you start
Your kiosks take card payments through Stripe until you move them to Viva. You can move one kiosk at a time, so you can try Viva on a single kiosk while the others carry on as normal.
You need:
- A Viva account connected to the store. See Take card payments on a Viva card terminal for how to connect it.
- The kiosk on the latest MyFoodFast Kiosk app (1.10.0 or later). Kiosks update themselves from the Sunmi App Store.
Note: The Card payments setting only appears on the kiosk edit screen once the store's Viva account is connected. If you can't see it, connect Viva first.
Step 1: Connect Viva and add the terminal
-
In the Back Office, select the store in the store switcher, then go to Setup > Integrations > Viva.
-
Press Connect Viva. Viva opens in a new page: sign up if you're new to Viva, or log in if you already have a Viva account. When you're done, Viva sends you back to this page and it shows Connected. If it still says Sign-up in progress, press Check sign-up status later, because Viva can take a while to approve a new account.
Note: Viva uses the login email of whoever presses Connect Viva, so press it while logged in as the business owner.
-
On a Sunmi K2 kiosk, open the Sunmi App Store on the kiosk, search for viva, and install viva.com|Terminal (the one without a DR badge). Activate it with the same Viva account you connected in step 2, or Find terminals won't show it.
Warning: The viva.com|Terminal with a DR badge is Viva's demo app and doesn't take real payments. Don't install it on a kiosk that takes customer payments. If it's already there, uninstall it, or the kiosk may send sales to the demo app instead.
-
Back on the Viva page, press Find terminals. The kiosk appears under Terminals. Press the pencil to give it a name staff will recognise, for example Kiosk left. If the kiosk doesn't appear, wait a minute and press Find terminals again.
Step 2: Move the kiosk to Viva
- With the store selected, go to Setup > In-Store > Kiosks and press edit on the kiosk.
- Under Card payments, choose:
- Viva app on this kiosk for a Sunmi K2 that has Viva's Terminal app installed. This is the usual choice.
- Viva if the kiosk uses a separate Viva card terminal next to it.
- Stripe to keep this kiosk on Stripe.
- Same as the store (Viva page) to follow the Kiosks switch on the Viva page.
- Save. The kiosk switches from its next customer.
Tip: To try Viva on one kiosk first, leave the Kiosks switch on the Viva page off and set just that kiosk to Viva app on this kiosk. The store's other kiosks stay on Stripe.
If the kiosk uses a separate Viva terminal, choose which one on the kiosk: on the welcome screen, press and hold the top-right corner and pick the terminal. If the store has only one Viva terminal, the kiosk picks it for you.
Step 3: Take a test payment
Place a small order on the kiosk and pay by card, then refund it (see below). Check the order reaches the kitchen and the receipt prints.
What customers see
- They tap Checkout, check their order and tap Place Order.
- The screen asks them to tap their card, phone or watch on the kiosk.
- Payment approved shows their order number and prints the receipt.
If a card is declined, the kiosk says so and the customer can try another card. Their basket is kept. Some cards ask for chip and PIN, which a kiosk can't take. The kiosk then asks the customer to try a different card or pay at the counter.
Refund a kiosk order paid through Viva
- On a till, open the order in the Order Hub and press Refund.
- Enter a manager PIN, choose what to refund and confirm.
The refund goes back to the customer's card. They don't need to tap their card.
Note: A payment taken with Viva app on this kiosk can only be refunded from an Android till that also has Viva's Terminal app installed. If you don't have one, refund it from your Viva dashboard.
Switch a kiosk back to Stripe
Go to Setup > In-Store > Kiosks, edit the kiosk and set Card payments to Stripe. It switches from the next customer. Your Stripe setup is kept, so nothing else needs changing.
Common questions
The kiosk shows "Staff: card payments need Display over other apps turned on for this app". Tap the message and turn the setting on for the MyFoodFast Kiosk app. It appears when the kiosk is set to Viva. On a Sunmi K2, Viva app on this kiosk doesn't need it.
The kiosk says "Card payments are not set up on this kiosk". The kiosk is set to Viva but no Viva terminal is chosen. Hold the top-right corner of the welcome screen and pick one, or set the kiosk to Viva app on this kiosk.
I changed the setting but the kiosk still uses Stripe. The change applies from the kiosk's next customer. If it still hasn't switched, restart the kiosk.
